Office Coffee Cost Per Cup: What UK Offices Really Pay

TL;DR

Instant costs about 5p a cup, pods 31p to 43p and bean-to-cup roughly 20p to 40p with the extras. Fresh filter sits around 30p to 36p a cup, with no lease and no pod waste.

Office coffee looks cheap until you add it up. A team of ten can easily drink 400 cups a month. Here is what each cup really costs, with real UK prices and the hidden extras most budgets miss.

What you'll get from this
  • The real cost per cup of instant, pods, bean-to-cup and filter
  • Current UK supermarket pod prices worked out per cup
  • The hidden costs: milk, leases, servicing and cleaning
  • A worked monthly budget for a ten person office
  • Simple ways to cut your cost per cup without drinking worse coffee

How Much Does Office Coffee Cost Per Cup? The Short Answer

Most UK offices pay between 5p and 45p for each cup of coffee. Where you land depends on how you brew.

  • Instant coffee: about 5p to 6p a cup
  • Supermarket pods and capsules: about 31p to 43p a cup
  • Bean-to-cup machine: roughly 20p to 40p a cup once you add milk, lease and servicing
  • Fresh filter or cafetière: about 30p to 36p a cup with specialty beans, before milk

The coffee is only part of the bill. Milk, cups, machine leases and cleaning time can double what you think you spend. So it pays to look at the full picture.

Cost Per Cup by Method: Real UK Prices

We checked supermarket shelf prices in October 2026. Prices change often, so treat these as a guide.

Instant coffee: about 5p a cup

A 190g jar of Nescafé Original costs around £5 to £6.50 in the big supermarkets. A single serve stick holds 1.8g, so one jar makes about 105 cups.

That is roughly 5p to 6p a cup, by our maths. Instant is the cheapest option by far. But many people can tell the difference, and some will buy a coffee out instead.

Pods and capsules: about 31p to 43p a cup

Pods are easy, but they are not cheap. Here is what we found at the major supermarkets:

  • Dolce Gusto Americano, 16 pods: about £5.00, so around 31p a pod
  • Tassimo Kenco Americano Grande, 16 pods: about £5.30, so around 33p a pod
  • L'OR Espresso Supremo, 10 Nespresso compatible capsules: about £4.25, so around 43p a capsule

Multi buy offers can bring this down. But a team that drinks two pods each a day soon adds up. Some milky drinks also need two pods, which doubles the cost.

Bean-to-cup: about 20p to 40p a cup, all in

A bean-to-cup machine grinds whole beans for each drink. The beans alone can be cheap per cup. The machine is where the money goes.

Office suppliers quote leases from about £25 to £200 a month. One supplier lists a commercial machine from £10.60 a week on a five year lease. Buying outright can cost from around £2,000 to over £6,000 plus VAT.

Once you add milk, servicing and the lease, most estimates land between 20p and 40p a cup. It suits bigger offices that drink a lot of milky coffee.

Fresh filter coffee: about 30p to 36p a cup

A filter machine or cafetière is the simple option. You need beans, water and a jug. There is no lease and no pods to throw away.

At about 10g of coffee for a 170ml cup, a 500g bag makes around 50 cups. Our Genesis Espresso Blend costs £16 for 500g, which is about 32p a cup. A 500g bag of Colombia Planadas costs £19, or about 38p a cup.

On a regular subscription, the 10% saving brings Genesis down to about 29p a cup. That puts fresh specialty coffee in the same range as supermarket pods, but with far better flavour.

The Hidden Costs Most Office Coffee Budgets Miss

The price on the bag or box is only the start. These extras can add 10p or more to every cup.

Milk: around 10p to 15p a drink

A 2 litre bottle of milk costs about £1.50. It makes around 10 to 15 milky drinks, depending on size. A latte heavy office can spend as much on milk as on coffee.

Machine lease and servicing

Servicing a commercial machine can cost £100 to £400 a year. Water filters cost £30 to £100 each and need changing every three to six months.

Leases often run for three to five years. Check what happens if the machine breaks, and who pays for the call out.

Cups, sugar and stirrers

Office suppliers estimate £25 to £50 a month for consumables. Switching to mugs and a sugar bowl cuts most of this.

Electricity and cleaning time

A bean-to-cup machine draws about 1,350 to 1,500 watts while it works. A filter machine can use as little as 650 watts.

Cleaning a bean-to-cup machine can take around 15 minutes a day. Over a year, that is more than 60 hours of someone's time.

Pod waste

Most coffee pods cannot go in a normal council recycling bin. Some brands run take back schemes, but someone has to collect and post them. Fresh beans leave only grounds, which you can compost.

A Monthly Coffee Budget for a 10 Person Office

Let's put real numbers on it. Say ten people drink two cups each on 21 working days. That is 420 cups a month.

  • Instant at 5p a cup: about £21 a month
  • Pods at 31p to 43p a cup: about £130 to £180 a month
  • Fresh filter at 29p to 36p a cup: about £122 to £151 a month, using about 4.2kg of beans
  • Bean-to-cup: beans plus a lease of £25 to £200 a month, so often £120 to £300 or more

Then add milk. If half the cups have milk at about 12p each, that is another £25 a month.

For most small teams, fresh filter costs about the same as pods. It avoids a lease, and people tend to notice the better taste.

What about cheaper beans?

You can buy cheaper commercial beans for less per cup. The trade off is flavour, and often freshness. Many large bags sit in warehouses for weeks before they reach you.

How Much Coffee Does an Office Drink? Plan on 2 Cups a Head

Office suppliers usually plan on one to three cups per person a day, with two as the norm. A Pact Coffee survey of over 5,000 people found 72% drink two or more coffees a day.

At 10g a cup, each person drinking two cups a day uses about 420g a month. So a 500g bag per person per month is a safe starting point.

Teams that drink less, or have plenty of tea drinkers, will need fewer bags. Count cups for a week before you order in bulk.

6 Ways to Cut Your Office Coffee Cost Per Cup

  1. Weigh your coffee. A cheap kitchen scale stops people heaping in extra scoops. Use about 60g per litre for filter.
  2. Buy 500g bags. They cost less per gram than 250g bags. Genesis is £9 for 250g but £16 for 500g.
  3. Set up a regular order. A subscription saves 10% with us and stops panic buys from the corner shop.
  4. Use mugs, not paper cups. That cuts consumables and waste in one go.
  5. Offer a decaf. Afternoon drinkers will still have a cup, and nobody needs to buy one out. Our Colombia El Buho Sugarcane Decaf uses a natural sugarcane process.
  6. Brew to demand. A fresh pot every hour beats a full jug going stale on the hot plate.
